You can invite vendors to submit invoices to your company through Mekari Expense. This invitation makes it easier for vendors to send invoices to be processed by the company. Here are the steps.
Log in to Mekari Expense via app.expense.mekari.com.
Go to the Purchasing menu.
Then click the “Vendors” submenu.
A. Adding Vendors Manually
On the Vendors page, click the “Add vendor” button then select Add vendor manually.
Enter the vendor name in the Vendor name field.
Select the vendor type and legal status.
Enter the vendor's phone number, email, and address.

Upload the vendor's NIB document.
If the company has added documents as requirements for creating a vendor, you need to upload those documents when creating the vendor. You can add vendor documents via the following link.

Click “Complete questionnaire” to fill out questions related to data privacy and security.
This questionnaire is optional and can be configured here.
Select the bank name used by the vendor.
Also enter the account number for that bank.

In the Legal Document Date section, select the date of the legal document. Then click “Submit for review”.
This field is a custom field that you can configure here.
B. Adding Vendors via Link

On the Vendors page, click the “Add vendor” button then select Invite vendor via link.
Inviting vendors requires Vendor invitation credit.

Enter information such as vendor name, vendor type, legal status, and vendor email. Then click “Invite”.
- If the vendor is already registered, the vendor name will appear in the dropdown list. If not, the system will create a new vendor.
- This email will be used by the vendor to register and log in to the Vendor Portal.
- Documents and questionnaires required based on the legal status of Corporate or Individual can be configured through the Vendor Review Workflow page. Vendors who have been successfully invited will appear in the following list.
C. How Vendors Create an Account
After being invited via the email entered in section B, the vendor will receive an activation link which, when clicked, will direct them to this page.
If the account creation process is successful, after logging in, the vendor needs to complete their vendor profile such as legal information, documents, and questionnaire if requested by the merchant who invited the vendor by clicking “Setup profile”.
If the vendor is invited by their company for the first time, they will be directed to fill in vendor information on the page and need to complete the following information.
If the information entered is correct, click “Submit for review”.
After the submit for review status, the merchant who sent the invitation will process the vendor and enter the vendor approval process.
If the vendor status and portal user are already active, the vendor can log in to the vendor portal.
D. How to Remove Vendor Access
Go to the Purchasing menu.
Then click the “Vendors” submenu.

Select the vendor whose access you want to remove, then click “Actions” and choose Deactivate vendor or select Revoke access to revoke the vendor's access.
- Deactivate prevents the vendor from creating invoices but still allows access to the vendor portal.
- Revoke access completely blocks the vendor from accessing the vendor portal.
