How to Manage Multi Company Management [Web]

The Multi-Company Management feature allows the Super Admin of the parent company to manage user access across all companies within a group through the Settings menu in Mekari Expense. Once the parent and child companies are configured by the Mekari Internal team, the Multi-Company Management page will be automatically available.

On this page, the Super Admin can view all companies in the group along with their Company ID (CID), manage cross-company access for employees, change roles or revoke user access for specific companies, and perform company switching. This feature also supports cross-company approval workflow and sends notifications when access changes occur.

- Employees with resigned or inactive status cannot be granted or have their cross-company access updated.
- Each company must have at least 1 active Super Admin.
- If the Mekari Expense subscription for a child company expires, cross-company access will be temporarily suspended and automatically restored once the subscription is renewed.
- Talenta synchronization only applies to the active Parent CID. Cross-company access to other child companies will not change.

A. Company Switching in Multi-Company Management

The Company Switching feature allows users with access to more than one company to switch between companies without logging out of their account. Here are some important points to note when using this feature:

  • After logging in, the system will automatically display the Parent Company dashboard.
  • The Company Switcher menu is available in the navigation header on the web platform and as an icon on the Home page in the mobile app.

  • When switching companies, all data, transactions, and reports will display information according to the active Company ID (CID).

  • Users who have access from another company (shadow user) will be marked with a badge or special icon in the user list.

    If a user's access to a Company ID (CID) is revoked, the user will receive the message "You no longer have access to this company" when attempting to switch to that company.

B. How to Access the Multi Company Web Page

  1. Log in to your Mekari Expense account. Then select the “Settings” menu.
  2. Next, click the “Multi company” tab.

    Access to this menu is only available for the Super Admin role.

  3. On the Company Group tab, you can see a list of all companies in the group along with related company information and cross-company access. Below is an explanation of each section available on the Company Group tab.

5 Multi-Company Access Shows the number of employees who have been granted cross-company access for that company.
6 Subscription Status Displays the XPM subscription status of the company along with the subscription period.
7 Manage Access Used to view and manage cross-company access for employees of the selected company. This button will direct you to the User access page.
  1. Additionally, to manage User access, you can click the “User access” tab.

  2. On this tab, the Super Admin can view the list of users who already have cross-company access, grant new access, change user roles in specific companies, or revoke access as needed. Below is an explanation of each section available on the User access tab.

10 Company Access Displays the list of companies the user can access along with the role they hold in each company.
11 Edit Access Used to change the role or revoke cross-company access granted to the user.

C. How to Set User Access for Employees

  1. Log in to your Mekari Expense account. Then select the “Settings” menu.
  2. Next, click the “Multi company” tab.
  3. Then click the “User access” tab.

  4. Next, click “Set access”.
  5. The following view will appear. Select the employee whose access you want to set by clicking “Select employee”.
  6. Choose the employee to be granted cross-company access from the available list.
     
  7. The system will display the Main Company along with the role held by the selected employee. You can change the role through the Role column. To add access to other companies, click “Add company”, then select the company from the available list.

  8. After all companies and roles are set correctly, click Save changes to save the settings. Click “Save changes” to save the changes.

    If you want to continue setting access for another employee without closing the window, click “Save & set another”.

  9. After successfully saving, the system will display the notification Access changes saved, and the user's access information will be updated in the User Access list.

     

D. Approval Workflow in Multi-Company Management

In Multi-Company Management, the approval workflow follows the relationship between the Parent Company and Child Company. Here are some conditions to note:

  • The list of approvers only shows users from the currently active company (Current CID) and registered Child Companies.

  • The selection of members in policy assignment follows the scope of the same company.

  • Users can only process approval for the currently active company.

  • If the relationship between the Parent Company and Child Company is removed, ongoing approval processes will be transferred to the Company Admin via the transaction page.

    (This applies to approval processes in the Purchase module (Purchase Request and Purchase Invoice), Claims, Trips, and Vendor Approval.)

    Approval processes can only be performed in companies with an active status. If the Mekari Expense subscription for a Child Company expires, all approvals assigned to users in that company cannot be processed.

E. Email and Push Notifications in Multi-Company Management

When cross-company access changes occur, the system will automatically send notifications to users and Admins. Types of notifications sent include:

  • New Access: Sent when cross-company access is granted for the first time.

  • Updated Access: Sent when a Super Admin updates a user's role or access.

  • Revoked Access: Sent when cross-company access is revoked, including information about the affected company and role.

  • Push notification: Sent for transactions requiring approval. When opened, the user will be directed to the corresponding company (CID). If access has been revoked before opening the notification, the system will display information that the user no longer has access.

    All email notifications related to cross-company access changes will be sent to the affected employees and Admins.
