Currently, you can act as a representative for employee reimbursement submissions within your company. In this case, you will take on the role of Admin/Super Admin to submit the reimbursement. To do this, follow the steps below.
- Go to the Transactions menu.
- Then select the Claims tab.
- Click “Submit Claim”.
- Next, click “Reimbursement”.
You will be directed to the following page. Click “Download template” to download the provided reimbursement submission data template.
- After you finish downloading the template, the following screen will appear.
- You are required to fill in the Requestor Employee Code, Transaction Date, Vendor, and Amount fields.After filling in the data, you can upload it in CSV format with a maximum file size of 5 MB.
The file can only contain a maximum of 75 data rows in one CSV file.
- Then click “Submit”.
- If the data upload is successful, a notification will appear in the Upload log.
After you click “Upload log”, you will be directed to the following page. Then the status of your reimbursement submission will change to “Processing”.
- If the submission status is Failed, the reimbursement submission you uploaded previously has failed. You can click “View details” to see the transaction details.
- Next, repeat the process of filling out the document data and ensure the data you entered is correct. Then, upload the data again.After the data is successfully uploaded, the reimbursement submission status on the Upload log page will change to Awaiting review. Then, click “View details” to review the transaction details further.
Then, the data consisting of Employee ID, Transaction date, Vendor, and Amount will be displayed again. As an Admin, you need to fill in the Claim category and Attachment columns that have been previously assigned to the employee. In this case, you must fill in the Claim category and upload the Attachment.
- If you click “Add attachment”, a window will appear prompting you to upload files related to the claim category. You can upload up to 5 files with a maximum size of 5 MB. Then, click “Submit”.
- The data previously entered in the CSV file will appear in the Note column, and you can edit that column.
- The Note column is optional; you may fill it in if needed.
- The amount of money submitted must not exceed the remaining assigned limit for the respective employee.
- If the amount of money submitted exceeds the remaining limit, you need to delete the data by clicking the minus icon and adjust the amount by editing the CSV file. Repeat the process of filling and uploading the data, ensuring all data is correct.
