As an Admin/Card Admin/Super Admin, you can approve the evidence of Virtual Corporate Card transactions uploaded by employees. In addition, you can also request revisions to the transaction evidence if there are any changes. To do this, please follow the steps below.
Go to the Transactions menu and select the “Cards” tab.
Then click “View” on the notification showing the number of transactions requiring approval with the status Awaiting review.
There are several actions to approve the Virtual Corporate Card transaction evidence, as follows:
A. Approve Transaction
Select one piece of transaction evidence that you want to approve.
You will be directed to the Transaction details page. To approve, you can click “Approve” to approve the Virtual Corporate Card transaction evidence and the transaction status will change to Approved.
Click the “pencil” icon if you want to edit the information before approving the employee's transaction evidence.
Then complete the transaction report with transaction category, transaction evidence, and notes. For your information, you can upload up to 5 files of transaction evidence with a maximum size of 5 MB each.
Once the entire process is complete, click “Approve & Submit” and the status of the employee’s Virtual Corporate Card transaction evidence will change to Approved.
B. Request Revision from Employee
Select one transaction evidence that you want to approve.
You will be directed to the Transaction details page. If there is any discrepancy in the transaction data, you can click “Request revision” to request a revision.
Then a pop-up will appear where you can enter the reason for the revision request and click “Submit” to proceed. The revision request will be communicated to the concerned employee, and the status will change to Awaiting revision.
If the employee has made the revision and re-uploaded the transaction evidence, the status will become Revised report submitted and the Awaiting Review status will reappear, indicating the transaction requires your approval. If all data is correct, you can click “Approve”.
If the information and transaction evidence are still not correct, you can click “Request revision” again.
C. Revision Process Done Directly by Admin/Super Admin
If you as Admin/Super Admin have requested a revision of transaction evidence (as explained in points 1-4 in section B. Request Revision from Employee), but you want to directly assist with the revision process, you can filter transactions with the status Awaiting revision.
Then select one transaction you want to revise.
After that, you will enter the transaction details page. On this page, you can click “Submit report”.
Then, complete the transaction evidence details as shown below and click “Approve & Submit” to approve the employee's Virtual Corporate Card transaction evidence and the transaction status will change to Approved.
