How to Integrate Mekari Expense Bills with Mekari Jurnal

In addition to being able to integrate Virtual Corporate Card, you can now also easily integrate Bills transactions from Mekari Expense to Mekari Jurnal. Here are the steps.

Important 
To be able to perform this Bills integration, you need to first integrate Mekari Expense with Mekari Jurnal. Learn more here.

A. How to Synchronize Bills Transactions

  1. Go to the Integrations menu.

  2. Then click “Sync transaction to Jurnal”.

  3. The Bills transactions that have been created will appear on the Integration page under the Bills tab.

  4. Next, click “Sync to Jurnal” on the Bills data with Pending status.

  5. You will be directed to the detail page of Integrations under Bills. You must fill in the Vendor in Jurnal, Account, and Tax account fields. Make sure all data is filled in correctly, then click “Sync to Jurnal”.

    - If there is one Bill transaction containing 2 payments with ‘Paid’ status and not yet integrated into Mekari Jurnal, you only need to perform the integration once and all those payments will be uploaded directly to your Mekari Jurnal.
    - Filling the Vendor in Jurnal field in Mekari Expense must match the vendor entry in Mekari Jurnal. In this case, the vendors in Mekari Expense and Mekari Jurnal must be the same.
    - If the vendor is not listed in Mekari Jurnal, you can add a new vendor first in Mekari Expense by clicking “+Add as a new vendor” as shown below. Then the vendor will automatically appear in Mekari Jurnal.

    - This also applies if there is a difference between the vendors in Mekari Jurnal and Mekari Expense. In this case, you need to modify the vendor in Mekari Expense first or add a vendor by clicking “+Add as a new vendor” to match the vendor in Mekari Jurnal.
    - For filling the Account field, by default the account that was previously mapped during your integration of Mekari Expense with Mekari Jurnal will appear. The account will correspond to the Policy category you created. However, you can also change the account by clicking the “dropdown” in the Account field.

    - Meanwhile, for the Tax account field, you can adjust the Tax percentage with the Tax account available in Mekari Jurnal.

    - If there is a Rounding payment in your transaction, you need to do mapping of the Rounding amount during integration.

    - The Rounding payment will then be integrated and appear in your Mekari Jurnal.

  6. The Bills transaction has been successfully integrated with Mekari Jurnal and the transaction status will change to Success.

B. Mechanism of Recording Bills Transactions in Mekari Jurnal

Once the Bills transaction is successfully integrated, the Bills data will be recorded in the Expense Menu (Cost Menu) in Mekari Jurnal. The journal recording will correspond to the account mapping you performed during the integration process. The Bills transactions recorded in Mekari Jurnal will automatically use the tags XPM - Bill and XPM - Fee. There are 3 recordings in one same Bills transaction in Mekari Jurnal, as follows:

A. Post Expense (Expense Recording)
1. In the example of the following Bills transaction, you will see the expense that has been posted. You can click “view journal entry” to see the journal entry of the expense recording.

2. The journal recording report will appear as follows.

B. Post Expense Payment (Expense Payment Recording) 
1. After the expense is paid, you can see the posting display as follows, where the account to be credited is Mekari Expense Balance and the transaction can be seen through Payment history. In the following example transaction, click “Payments history” then click the payment transaction number.

- If there are partial payments on the Bills transaction, more than 1 payment will appear in the Payment History column as shown in another example transaction below.

2. Then you will be directed to the following page. Click “view journal entry” to see the journal entry details.

3. The journal recording report will appear as follows.

In the example report above, the account credited is Mekari Expense Balance, which means your Mekari Expense balance has been deducted by the attached amount. Read: How to top up Mekari Expense balance.

C. Post Transaction Fee (Recording Fee for Expense Payment Activity)
1. In the Bills transaction, every transaction that has been successfully paid will incur a Fee. You can click “view journal entry” to see the recording report.

2. The following display will appear. Each successfully processed transaction will be charged an administration fee of Rp 3000 per transaction, which will be deducted directly from your Mekari Expense balance. This administration fee will be recorded with the tag XPM - Fee.
