In the approval process, the approver can only approve trip requests and trip report cash advances that have been created. Here are the steps for approval on trip requests and trip reports for cash advance submissions.
- Log in to your Mekari Expense application.
- Click on one of the lists with the status Awaiting approval.
Then, you will be directed to the following page. If your employee previously submitted a cash advance, before approving, you can edit the amount of the cash advance by clicking the pencil icon.
Then edit the Approved cash advance amount and provide the reason in the available field. Then click Submit.
The approver can reject the cash advance submission by entering “0” in that field along with the reason.
- Click “Approve” to approve the trip request.
- A notification will appear stating that the approved cash advance will immediately enter the fund disbursement queue. Click “Continue” to proceed.
- If the transaction you created has a Subcategory, before approving, you can edit the submitted transaction. Click “Actions” on that transaction.
Then select “Edit request”.
- If the previously selected transaction did not have a Subcategory, then when making changes in Edit request, click “Claims category”.
- Then select the Claim category that has a Subcategory.
- Next, the following information will appear stating that the Claim category you selected does not have a Subcategory and all Items will be deleted. In this case, you need to complete the reimbursement form again.You will be directed to the following page. Then on one of the transactions, click the “pencil icon” to edit that transaction.
In this case, the Transaction date cannot be changed.
- Then make edits to the data you want to change. Make sure all data is correct, then click “Save changes”.
Then you will return to the Edit cash advance request page. Here you will see the remaining balance amount within a week. Please always pay attention to the available balance amount. If the data change process is complete, click “Save changes” again.
- Next, click “Approve request” to approve the reimbursement submission.
- After you have approved the trip request, a pop-up will appear stating that the trip request has been successfully approved.
